A.      User Office

 

Welcome to the User Office

The SSRF User Office is mainly responsible for providing administrative support for users.

 

User Office Responsibilities:

Track and manage the whole process of the proposals

Release the information relevant to the users in time

Organize the annual academic conference, training, and relative activities

The work of SSRF user committee

B.      Apply for Beamtime

 

SSRF accepts proposals throughout the year routinely and carries out two rounds review. There are two deadlines to be aware of:

March 1st, 23:59 for access from July

September 1st, 23:59 for access from January of the following year

 

Workflow

Register in User Application System (http://ssrfwx.ssrf.ac.cn/proposals/en)

Submit your proposal

SSRF carries out a peer review of proposals

If successful:

SSRF allocates beamtime and sends out the results

New users take and pass the safety training quiz online (Valid for one year)

Attend SSRF on time

Get your personal dosimeter and user card

Carry out your experiments

Clean up the lab and return the dosimeter

Submit the proposal implement form (before leaveing SSRF), the experimental report and the publication

 

Applicant Qualifications: in-service researcher or postdoctor, cannot be a student (PhD, Masters or Undergraduate Student).

                Applicant Fee: free for science research and a certain fee for for-profit proposals

Beamtime Validity Period: 2 years from the first day of the allocated beamtime

Beamtime Allocation Principle: according to the peer review result and SSRF operation schedule

Proposal Review

Review Principle

-          Proposal Significance (scientific significance, national demand, and social benefit)

-          Feasibility

-          Expected accomplishments

-          Necessity and rationality of applying for SSRF beamtime

-          Implementation of previous proposals (not for new users)

Review process

-          The proposal will be reviewed by the beamline director first to see whether the experiment can be carried out on the requested instrument.

-          If the application involves some special safety requirements (such as radiological safety, inflammable and explosive goods, biological safety, etc.), it should be reviewed by SSRF technical safety department.

-          The approved proposal will proceed to expert review.

-          The experts assess and rank the proposal according to the proposal significance and the experiment.

-          SSRF allocates the beamtime for the approved proposal according to the experts’ recommendations.


 

 

C.       Experiment at SSRF

Before the Experiment

 

User Office will prepare the user card, personal dosimeter and checklist for you before your arrival. Please get them once you arrive at SSRF.

User Card

Each investigator in a proposal will apply for a user card automatically when submitting the proposal application. The user card can be used to get into non-radiation-controlled area. If the user card is lost or damaged, please apply for a new one at User Office for free.

 

Dosimeter

The dosimeter is for personal use and cannot be lent to other person.

 

Please note that it is not allowed to disassemble or damage the dosimeter. If the dosimeter is lost or damaged, please apply for a new one at User Office in time to ensure that the dose monitoring work is carried out normally. You need to pay 50 RMB for dosimeter cost.

 

Checklist

Checklist can ensure your SSRF access runs as smoothly as possible.

 

         During the Experiment

The beamline staff will introduce the safety operation guidelines for you first. Please don’t operate the unauthorized equipment or enter the unauthorized area without authorization.

 

Please complete the experiments independently according to the safety operation guidelines. The SSRF staff will provide basic experimental guidance during your experiments.

 

Note: Food is not allowed in the experimental station.

 

After the Experiment

Please leave the instrument and any labs you have used clean and tidy. SSRF is not able to dispose of your samples so please repack everything you bring with you and take it away.

 

Please return the dosimeter, the user card and the checklist.

 

The feedback is an important reference for review of the further proposals from the same applicator. This should be carried out through User Application System.

Submit the Proposal Implement Form once the experiment is completed.

Submit the experimental report within 60 days after the experiment is completed.

Any publishing work containing synchrotron data from SSRF should be recorded.

 

Accommodation

We provide several accommodation options for the users with accommodation needs, such as Aloft Shanghai Zhangjiang Haike. After your beamtime is confirmed, you can contact User Office to assist you to make reservation. It’s at users’ own expense.

 

Dining Hall

The dining hall provides breakfast (7:30-9:00), lunch (11:30-12:30), and dinner (17:00-18:00) every day (including holidays). You can buy the meal vouchers in the front desk of the hostel.

Transportation

SSRF is located in Zhangjiang Hi-tech Park. There are several convenient ways to get here.

-       Metro Line 2 - Zhangjiang Hi-tech Station

-       Metro Line 16 - Middle Huaxia Road Station

-       Maglev Train – Longyang Road Station

-       Bus Pudong 22, Bus 188 - Zhangheng Road and Keyuan Road

 

Hospital

Shu Guang Hospital is located at No.528, Zhang Heng Road, Pudong New District, Shanghai. It’s only 500 meters away from SSRF.

Users should ensure to acknowledge SSRF in all publications arising from work carried out wholly or partially at SSRF which contain synchrotron data from SSRF.

 

The following acknowledgement statement must be included in all publications:

“This work was carried out with the support of Shanghai Synchrotron Radiation Facility, instrument XXX or Beamline XXX (proposal XXX).” 

 

In addition, users should record their publication in User Application System.

G.      Frequently Asked Questions

Registration and Application

Q: Can students apply independently?

A: No. Only in-service researchers or postdoctor can apply independently.

 

Q: How much is the application fee?

A: It’s free for science research. But for for-profit proposals, a certain fee will be charged.

 

Q: when’s the deadline of the application?

A: SSRF accepts proposals throughout the year routinely and carries out two rounds review. There are two deadlines to be aware of:

-            March 1st, 23:59 for access from July

-            September 1st, 23:59 for access from January of the following year

 

Q: how long is the beamtime valid?

A: It lasts 2 years from the first day of the allocated beamtime.

 

Q: Can enterprise user apply for free?

A: Yes. But the achievements have to be public.

 

Experiment Operation

Q: Is there any guidance during the experiment?

A: The SSRF staff will provide basic experimental guidance during your experiments.

 

Q: Do I have to complete the experiments independently?

A: Yes. Please complete the experiments independently. The beamline staff will introduce the beamline safety operation guidelines before your experiment and provide basic experimental guidance during your experiment.

 

Q: Does SSRF collect data for me if I ship the sample to SSRF?

A: No. You need to collect data by yourself except for the cooperation proposals.

 

Q: Can I work alone at SSRF?

A: To ensure the equipment safety and personal safety, work alone is not allowed (at least 2 experimenters).

 

Q: Is it possible to change the beamtime schedule?

A: In principle, the schedule cannot be changed without any special reason.

 

Q: How does SSRF handle the situation that the allocated beamtime become unavailable due to the malfunction of SSRF?

A: In principle, SSRF will reallocate such lost time according to user’s need.

 

Q: Do I have to prepare the experimental consumable by myself?

A: Yes.

 

Q: What trainings do I need to complete before the experiment?

A: You have to complete safety training and beamline safety operation training.

 

Q: Can I take the dosimeter away?

A: The dosimeter should be returned to User Office when you leave SSRF.

 

Publication

Q: How do I acknowledge SSRF in my publication?

A: Please acknowledge SSRF with the statement:

“This work was carried out with the support of Shanghai Synchrotron Radiation Facility, instrument XXX or beamline XXX (proposal XXX).” 

In addition, you should record your publication in User Application System.
